Make the trial comparable.

  1. Define a task and a pass condition. Choose a small part of your actual work. State what a usable result must include before starting.
  2. Run the same task with an alternative. Use the same inputs and plan assumptions. Your current workflow can be the alternative.
  3. Record the result, including the friction. Keep the product version, plan, date, output, errors and workarounds. Use a separate worksheet for each tool.
  4. Decide from constraints as well as scores. A missing essential feature, unavailable plan or unacceptable exit path can rule a tool out regardless of its average.
Examples of a representative task

Form builder: recreate a small form with one conditional branch, submit sample answers and export them.

Project tracker: import a small set of sample tasks, assign one, change its status and export the same fields.

Coding assistant: use a disposable copy of a small project, ask for one bounded change, inspect the diff and run the project’s relevant checks. Record commands and permissions requested.

Keep unknowns visible.

  • Provider claim: a capability or term described by the vendor. Keep the source and date; it does not prove the workflow worked.
  • Observed: a result from the task you actually ran. A small trial is useful evidence, but it cannot establish long-term reliability.
  • Unknown: something you have not checked. Leave it unknown rather than giving it a neutral score.
  • Blocker: a result or constraint that prevents your intended use. Write down why, and resolve it before committing.

How to read it
The optional average gives each of the five criteria equal weight. It appears only when every criterion has evidence notes and your rating. It is not a Fewertools Best Score or a validated recommendation.

1. Define the job

A short, specific task makes the result easier to compare. Keep the acceptance condition independent of a vendor’s feature list.

Describe the exact task and inputs. Use sample data rather than private production data.

Budget, skills, eligibility, integrations, permissions or other non-negotiable requirements.

2. Record the five criteria

Use the same five questions for each candidate. An optional rating is your judgement: 0 means the criterion does not meet your task’s needs; 10 means it meets them very well. A provider-only rating remains provisional.

Use a whole number from 0 to 10, or leave the rating blank. Choose an evidence status first. Unknown criteria cannot be rated.

Functionality

Can it complete your representative task? Record the result, missing capabilities and workarounds.

Pricing value

What does your workload cost? Check plan limits, usage charges and services you would still need.

Ease of use

What did setup and the repeated workflow require? Note skills, permissions and any assistance needed.

Reliability

What failed or recovered during your trial? Separate that small sample from provider status history and support terms.

Founder fit

Does it fit your budget, skills and existing workflow? Record an exit path and any constraint that rules it out.

3. Model the cost at your usage

Record the provider’s plan and quote source. Estimate costs at three workloads you define. Keep every scenario in the same currency; compare currencies separately and record any tax or exchange assumptions in your notes.

4. Check the exit

Try a small export and inspect the provider’s terms before moving valuable work. A documented policy and a successful export are different kinds of evidence.

Check files, records, relationships and metadata, not just the presence of an Export button.

Try a sample in a different tool or inspect an open format. Record what is lost.

Read renewal, downgrade, cancellation and any remaining usage commitments.

Confirm permissions, handoff, access removal and the provider’s stated retention rules.

5. Make a decision you can explain

What passed? What is still unknown? Record any reason to revisit the choice. Another tool’s worksheet should use the same task and assumptions.
