Finding clients

A portfolio site is non-negotiable. Framer or Carrd for a simple one-pager. Your portfolio doesn't need to be fancy. It needs to load fast, show your best work, and have a clear way to contact you. For marketplaces, Upwork still has the volume. Contra is growing fast with zero commission. Start with one platform, not three.

Managing projects

Notion as your client hub. One database for all projects with columns for client name, status, deadline, and payment status. Create a template for each new client with a brief, deliverables checklist, and feedback log. This replaces Trello, Asana, and whatever else you were considering.

Communication

Email. Seriously. Resist the urge to put clients on Slack. Email creates natural boundaries, is searchable, and doesn't create the expectation of instant replies. For async video updates, Loom saves hours of back-and-forth. Record a 2-minute walkthrough instead of writing a 500-word email.

Invoicing and payments

Stripe for payments if you want full control. Create payment links in seconds, set up recurring billing for retainers, and get paid to your bank account. For invoicing specifically, Wave is completely free, handles multiple currencies, and looks professional enough for any client.

Contracts and proposals

PandaDoc or a simple Google Doc template. Don't overcomplicate this. A clear scope of work, timeline, payment terms, and revision policy. Get it signed digitally. Move on.

Scheduling

Cal.com is open source and free. Share a booking link, let clients pick a time, done. No more email ping-pong about availability. Calendly works too, but Cal.com gives you the same thing without the pricing wall.
